Cancellation Policies
Dear
Customer - We feel that Southern Retreats is unique regarding our very
accommodating policies pertaining to cancellations and other guidelines or rules
since our intentions are to enjoy operating our retreat and to make friends
along the way, not alienate them. However, another one-of-a-kind quality of our
retreat is the (often extensive and detailed) advance planning and preparation
that is made in order to enhance the fun, relaxation and productive atmosphere
available to all participants. Many expenses can be incurred well ahead of
the guest's arrival and we basically ask only for reasonable advance
communication when plans must be altered and for consideration regarding the
following understandable and fair cancellation policies.. A deposit is by
definition, intended to be non-refundable if it is to serve any practical
purpose what so ever as you should agree - we do. However, we offer a few
limited exceptions to this statement as detailed below.
P1 - Your reservation is never
"guaranteed" until we have physically received your deposit.
P2 - Reservations canceled before 120 days (4
months) of the retreat are eligible for a full refund of any money paid.
Reservations canceled between 30 and 90 days of the retreat are subject to a
full refund of any money paid less the $75 deposit, which will be held
and applied toward a future reservation within one year. If not used
within 1 year of the original reservation, the deposit is forfeited by the
customer.
P3 - Reservations canceled less than 30 days
before the arrival date forfeit the full retreat cost. If a
replacement attendee is found, your retreat fee (less the $75 deposit) will be
held and applied toward a future reservation within one year.
If not used within 1 year of the original reservation, the full amount is
forfeited by the customer.
P4 - All reservations and money paid in
advance of the retreat date is transferable to another person upon management
approval, at any time prior to the original retreat date to a person not
already registered for any upcoming retreat, again, at management
discretion. Transferring a deposit to someone already registered would
effectively be the same as a cash refund. Deposits may not be transferred to
another group member for the same weekend.
P5 - All cancellation requests must be
received in writing (email is great) and all applicable dates are considered
relative to the date we receive your written request. You must include your
name, retreat date registered for, method of payment, and a check number if
applicable. This helps us to faster find your reservation and any payments made.
All refunds are less any transaction fees and refund costs that we may have
incurred (usually $5 or less total for credit card fees, and/or mailing costs.)
P6 - In the event a retreat must be canceled
by us for circumstances beyond our control (i.e. state mandated weather/road
conditions, etc.) we will apply all monies paid to us at that point to any other
available retreat date (of the customer's choice) within one calendar year of
the original reservation date.
P7 - We reserve the right to refuse service
to anyone that at any time conducts themselves in a manner that we feel
interferes with anyone else being able to contently enjoy their weekend stay.
Anyone asked to leave the retreat for any reason will not be refunded any money
paid to that point what so ever.
P8 - Please be
aware that all sales taxes (local, state, etc.) will be added to all merchandise
sales as applicable and required by law.
P9 - Our polices
are of course subject to change at any time and the policies in effect at the
time of dispute, cancellation request or final dispute resolution will apply at
our discretion. If concerned, please print these policies now and keep
them with your reservation information.
